Exclusive container or consolidation?

The break-even point is around 13 to 15 cubic meters. Below that volume, groupage tends to be more economical. Above it, an exclusive 20-foot container is normally cheaper and also shortens the transit time, because it avoids the consolidation and deconsolidation stages — which usually add up to 4 to 8 days.

    Complete list of the goods that will leave the country, volume by volume, signed by the owner. The same inventory serves as the basis for the import declaration in Brazil, and it is the Brazilian customs that defines this format, which is why we prepare a single document already in the format required there.     Deregistration from the Belgian municipal registry

    The definitive departure from Belgium is notified to the municipality where you live, with deregistration from the population register. The proof of this deregistration is the document that demonstrates the end of your Belgian residence and supports the period of stay abroad.     Verification of the 12-month linkage, when applicable

    If you entered Belgium with customs duty relief for your move less than 12 months ago, the goods are still subject to the restriction of not being loaned, pledged, rented or transferred. We check this situation before shipment, because it needs to be handled with Douane en Accijnzen and not at the port. All of this procedure is managed by One Moving for your convenience.

    DSI — Simplified Import Declaration

    The move is declared in Siscomex via the DSI, filed by an authorized customs broker. Our own team in Brazil carries out this filing and follows the customs clearance through to release.

    Proof of residence abroad for more than 1 year

    The extended customs duty relief for furniture and household goods requires proving effective residence abroad for more than 1 year. In enforcement practice, the evidence that supports the clearance is the Declaration of Residence issued by the Brazilian Consulate in the city where you live and utility bills in your name, such as water, electricity, gas and internet. Documents such as Belgian municipal registration proof, lease contract, employment contract and tax declarations make up the dossier as support, but do not prove residence on their own: they attest to authorization to reside, not effective residence.     Passport with entry and exit stamps

    The passport is the document that materializes the date of your disembarkation in Brazil, and it is from that date that the legal deadlines for the move are counted. We gather the necessary copies before registering the DSI.

    Bill of lading and proof of ownership

    Bill of lading issued in the name of the owner of the goods and, for high-value items or those identifiable by serial number, proof of purchase showing prior use abroad.

The legal window is 3 months before to 6 months after

Unaccompanied baggage must arrive in Brazil within a window that starts 3 months before and ends 6 months after your disembarkation in the country. Outside this window, the customs duty relief is lost and the relocation is treated as a regular import, with taxes. Because the maritime transit on this route takes 45 to 60 days door-to-door, the planning of the shipment date must be done before purchasing your ticket, not after. One point that often causes confusion: this window allows the shipment to arrive before you, but the customs clearance is carried out only with the traveler already on Brazilian territory, because the Receita Federal do Brasil (Brazilian Federal Revenue Service) requires proof of your arrival to release the goods. Anticipating the shipment to gain time does not work: the cargo arrives and remains idle, generating storage and demurrage. Therefore we align the shipment date to your disembarkation date, with the necessary margin.

Leaving Belgium before completing 12 months requires caution

If you entered Belgium with customs duty relief for your move, the goods are subject, for the 12 months following importation, to the restriction of not being loaned, pledged, rented or transferred. A departure from the country within that period needs to be dealt with by Douane en Accijnzen before shipment. This is common in contracts linked to European institutions and short-term projects and, if ignored, can generate retroactive charging of Belgian taxes.

More than 1 year of residence abroad, proven

The customs duty relief on import requires proof of residence abroad for a period longer than 1 year. Those who lived abroad for less than that do not lose the right to bring their international move, but they lose the customs duty relief. We assemble the proof dossier with you before shipment, gathering contracts, Belgian municipal registration and proof of ties, because that set supports the request before Receita Federal.

The car that entered Belgium does not return with customs duty relief

This is the reversal that most surprises those who took the vehicle on the outbound move. Belgian rules admit the car in the move, with its own clearance, customs seal 705, pink form and technical homologation. Brazilian rules, on the contrary, exclude motor vehicles from the unaccompanied baggage exemption. Bringing the car back is possible, but constitutes a distinct import operation, with its own taxes, and must be priced separately from the move of the goods.

Voltage: Belgium uses 230 V, Brazil uses 127 V or 220 V

The Belgian electrical grid operates at 230 V with Type E and F plugs. In Brazil, voltage varies between 127 V and 220 V depending on the region, and the outlet standard is the Brazilian one. Motorized household appliances purchased in Belgium may not operate properly or may require a permanent transformer. We evaluate items one by one in the inventory, because often the freight for a large appliance costs more than buying an equivalent in Brazil.

New goods and items in commercial quantities are excluded

The customs duty relief covers used household goods and personal effects. New items still in original packaging, or in quantities that suggest commercial destination, may be taxed individually or withheld for inspection. We review the inventory with you before shipment precisely to separate these cases and prevent them from delaying the release of the entire cargo.

Visits to Brazil cannot total more than 45 days

The Brazilian resident abroad may make occasional trips to Brazil without losing the exemption, provided that the total time of those visits does not exceed 45 days in the period of one year outside the country. Above that, the excess is not counted toward completing the minimum residence period, and it will be necessary to remain abroad longer to compensate. One important caution: this count admits exceptions, and specific situations — travel for health reasons, family bereavement, employer requirement, among others — may receive different treatment. If your visits to Brazil have approached this limit, do not conclude on your own that you have lost the exemption: a customs specialist evaluates your specific case before any decision about the move.

Yes, and this is not our preference: it is not possible to complete the customs clearance before your disembarkation in Brazil. Receita Federal requires, among the dispatch documents, proof of the traveler's arrival in the country, and the right to customs duty relief is tied to your final disembarkation. The cargo can leave Belgium and arrive before you — the legal window allows up to 3 months in advance — but it will remain waiting at the port or airport until you arrive, with storage and demurrage accruing in that interval. This is why we schedule from your disembarkation date, not from the date when the house is ready to be packed.

Unaccompanied baggage must arrive within the window that goes from 3 months before to 6 months after your disembarkation in Brazil. It is a strict deadline: outside it, the exemption is lost and the shipment is treated as a regular import, with taxes. Because the transit takes 45 to 60 days door-to-door, the shipment must be planned before you set your flight date, and that is what we do at the start of the process.

The DSI is the Declaração Simplificada de Importação (Simplified Import Declaration), registered in Siscomex, the system of the Receita Federal do Brasil (Brazilian Federal Revenue Service), by an authorized customs broker. It is through the DSI that the relocation is declared and the exemption is requested. On this route, the DSI registration and all monitoring of the customs clearance are conducted by One Moving's own team in Brazil, without intermediaries, which is precisely the most sensitive end of a return move.

Proof is provided by a set of documents, and the hierarchy among them matters. The two proofs that effectively support the customs clearance are the Declaration of Residence issued by the Brazilian Consulate in the city where you live and utility bills in your name, such as water, electricity, gas and internet: these demonstrate effective residence at the address. Documents such as the proof of registration in the municipal population register of the Belgian municipality, employment contracts, the lease contract or property deed, tax returns filed in Belgium and proofs of mutuality or health insurance enter the dossier as supporting evidence, together with the passport showing entries and exits, but do not prove residence in isolation, because they attest authorization to reside rather than the fact of having lived there. We assemble this dossier with you before shipment, because gathering documents abroad after you are already in Brazil is much more difficult.

They are two distinct consequences. On the Brazilian side, the tax exemption requires residence abroad for more than 1 year, so it does not apply: the relocation can arrive, but taxed. On the Belgian side, if you entered the country with customs duty relief for a move, the goods are under transfer restriction for the twelve months following importation, and the exit must be handled with the Douane en Accijnzen before shipment. We assess both ends before structuring the operation.

Not within the moving exemption. Brazilian legislation excludes motor vehicles from the exemption for unaccompanied baggage, unlike the Belgian rule, which admits the vehicle in the move and provides a specific procedure for customs clearance, homologation and registration. Bringing the car back is possible, but it constitutes a separate import operation, with its own taxes and requirements, and must be quoted independently from the relocation of the household goods.

It depends on the equipment. Belgium operates at 230 V with type E and F plugs, while in Brazil the voltage varies between 127 V and 220 V depending on the region and the socket standard is the Brazilian one. Equipment with dual-voltage power supplies, such as laptops and chargers, work without problem. Motorized appliances, such as washing machines and refrigerators, usually require a permanent transformer. We analyze item by item in the pre-move survey, because in many cases the freight is not worth it.

Transporting the animal is a process separate from the relocation of the goods, with its own requirements for microchip, rabies vaccination, international veterinary certificate and compliance with Brazil's entry rules. The customs duty relief covers used household goods and personal effects. Excluded are motor vehicles, new goods in original packaging, items in quantities suggesting commercial intent, as well as perishable food, plants and animal-origin products subject to sanitary control. We review the inventory before shipment to separate these cases, because a single misdeclared item can hold the entire cargo at the port.
